    SchoolLens ("we", "us", "our") provides a desktop-based analytics application for the Australian K-12 education sector.

    We are committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

    This Privacy Policy explains how we collect, hold, use, and manage personal information.

    2. Our Service Model (Important)

    SchoolLens is designed as a local-first analytics application.

    School assessment datasets (including ATAR data, results, rankings, and reporting data) are processed and stored locally within the SchoolLens desktop application.

    SchoolLens does not upload, store, or centrally process student assessment datasets as part of its standard operation.

    SchoolLens only stores limited information required to operate licensing, administration, and support services.

    3. The Personal Information We Collect

    SchoolLens may collect and hold limited personal information necessary to operate its services, including:

    • school name and organisational details
    • school contact information (address, phone, email)
    • authorised staff user details (name, email, role)
    • account, licence, and activation records
    • support and enquiry communications
    • security, audit, and operational logs relating to account and platform use

    Student Data

    SchoolLens does not collect or store student assessment datasets in its cloud systems.

    Any student data (such as results, rankings, or course data) processed using the SchoolLens desktop application remains within the School's local environment.

    4. How We Collect Personal Information

    We collect personal information:

    • directly from Schools during account setup and administration
    • from authorised staff when using account, licensing, or support features
    • through support requests and communications
    • automatically through security and operational logs

    We do not require Schools to upload student datasets to SchoolLens servers.

    5. How We Hold Personal Information

    SchoolLens holds limited personal information in secure electronic systems hosted on Australian servers, including:

    • account and licensing systems
    • authentication systems
    • support and communication records
    • operational and security logs

    Student assessment datasets processed in the desktop application are not stored in SchoolLens cloud systems.

    6. Why We Use Personal Information

    We use personal information to:

    • manage school accounts and licensing
    • provide support and respond to enquiries
    • maintain platform security and integrity
    • operate, maintain, and improve our services
    • comply with legal and regulatory obligations

    Analytics and reports generated from school datasets are created locally within the desktop application.

    7. Student and Children's Data

    The SchoolLens desktop application may be used by Schools to analyse student data.

    This data remains under the control of the School.

    SchoolLens does not upload or centrally store student datasets.

    Schools are responsible for complying with their own privacy and consent obligations when using the software.

    8. Disclosure of Personal Information

    We may disclose limited personal information to:

    • our service providers (e.g. hosting, authentication, support systems)
    • professional advisers where necessary
    • regulators or authorities where required by law

    We do not sell personal information or use it for third-party marketing.

    Student datasets processed locally in the desktop application are not disclosed by SchoolLens, as they are not collected or stored by us.

    9. Overseas Disclosure

    SchoolLens stores limited personal information on servers located in Australia.

    SchoolLens does not disclose student assessment datasets overseas, as those datasets are not collected or stored by us.

    10. Security

    We take reasonable steps to protect personal information, including:

    • encryption in transit
    • access controls and authentication
    • audit logging and monitoring
    • secure development practices

    Schools are responsible for securing any data stored within their local SchoolLens installation.

    11. Access and Correction

    Individuals should contact their School in the first instance regarding any student data processed locally.

    For personal information held directly by SchoolLens (e.g. account details), individuals may contact us using the details below.

    12. Retention

    We retain personal information only as long as necessary for:

    • account and service operation
    • legal and compliance requirements
    • security and audit purposes

    We take reasonable steps to securely delete or de-identify information when no longer required.

    13. Data Breaches

    If we become aware of an eligible data breach, we will investigate and respond in accordance with applicable laws, including notifying affected parties where required.
